This Privacy Policy explains how TimeMe.AI ("TimeMe," "we," "us," or "our") — operated by TimeMe.AI Inc., a California corporation — collects, uses, shares, and protects information when you use the TimeMe.AI mobile app (iOS and Android), the timeme.ai website, and related services (together, the "Service").
TimeMe.AI is a family scheduling app. Families coordinate their kids' lessons, practices, and activities; parents book coaches and tutors; and an in-app AI assistant ("AskAI") helps create and manage the schedule. Because families include children, parts of this policy — especially the Children's Privacy section — are written with extra care.
By using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Information We Collect
We collect the information needed to run a family scheduling service and to make the AI assistant useful.
Account & profile information
- Account details: your name, email address, password (stored hashed), and the role(s) you hold — parent, student, expert, coach, or club leader. A single account can hold more than one role.
- Sign-in identifiers: if you sign in with Apple or Google, we receive the identifier and basic profile details those services share (such as your name and email, subject to your choices, including Apple's Hide My Email).
- Expert/coach profile: if you offer lessons or run a team, the profile you build — what you teach, who you serve, availability, and your booking page ("PlanIt") settings.
Family & relationship data
Family relationships you create (parent-of, sibling-of, household-of) and the members you add. Parents may create a child's profile and schedule on the child's behalf ("on-behalf-of"); a child can later claim and manage their own account.
Schedule, event & booking data
Activities, events, lessons, practices, bookings, and their details: titles, dates/times, participants, locations, recurrence, RSVPs, session notes, progress reports, and student session ratings.
Calendar data (system calendar sync)
- Apple Calendar (on-device): if you enable Apple Calendar sync, the app requests permission to access your device calendar through Apple's EventKit to read and write events on your device. This access stays on your device under your control; revoke it anytime in iOS Settings.
- Google Calendar (cloud): if you connect Google Calendar, you authorize access through Google OAuth. We store the resulting access/refresh tokens on our servers to keep your TimeMe.AI events and Google Calendar events in sync. You can disconnect at any time, which revokes our access.
Communications & media
- Messages: Huddles chat (group and 1:1) and Buzz broadcasts, including reactions, voice messages, images, and files. Chat content is stored using Google Firebase (Firestore).
- Media: photos and videos you attach to events ("Time Capsule") and files you share in Huddles. Media is stored using Amazon Web Services (AWS S3).
AI assistant (AskAI) content
When you use AskAI, the messages you send and the relevant schedule context needed to answer them are processed by our AI provider, Anthropic, to generate a response. See Section 3.
Device & technical information
- Push notification tokens: device tokens from Apple Push Notification service (APNs) and Firebase Cloud Messaging (FCM) so we can send reminders and schedule alerts.
- Required-reason device data: limited device information our app accesses for app functionality — for example file timestamps, available disk space, and local app settings ("UserDefaults"). Used to operate the app, not to track you. Our iOS privacy manifest declares these uses.
What we do NOT bundle: TimeMe.AI does not include third-party advertising SDKs or third-party analytics SDKs in the app. We do not track you across other companies' apps and websites.
2. How We Use Information
We use the information above to: provide and operate the Service (schedules, events, bookings, teams, family coordination); power the AskAI assistant; send notifications you ask for (reminders, schedule changes, RSVPs, booking confirmations, review prompts); enable booking between families and the experts and coaches they choose; maintain security, prevent abuse, debug, and improve reliability; and comply with legal obligations.
We do not sell your personal information, and we do not use it for third-party behavioral advertising.
3. How AskAI Handles Your Data
AskAI is powered by Anthropic, our AI provider. When you interact with AskAI, your message and the schedule context needed to fulfill it are sent to Anthropic's API to generate a response.
- Under our integration with Anthropic, your conversations are processed to produce responses and, per Anthropic's commercial terms, are not used to train AI models by default.
- We do not use your data to train external AI models without your explicit opt-in.
- Kids' AskAI conversations are private to the kid by default — like a journal. Parents see what shows up on the family calendar (schedule changes a child made), but not the conversational back-and-forth. For younger children, a parent may opt to see the child's AskAI history through family settings.
4. Children's Privacy (COPPA)
TimeMe.AI is designed for families, and children are first-class users — a child can have their own login and use AskAI to manage their own schedule. Because we knowingly collect information from children under 13, we comply with the U.S. Children's Online Privacy Protection Act (COPPA).
- Parental consent: a child under 13 is added to TimeMe.AI by a parent or guardian, and we obtain verifiable parental consent before a child under 13 independently uses features that collect personal information.
- Scoped collection: we collect only the information needed for a child to use the scheduling and AI features.
- No behavioral advertising to children: we do not serve behavioral advertising to children and do not use children's data for ad targeting or profiling.
- Parental rights: a parent or guardian can review their child's information, ask us to delete it, and refuse further collection by contacting us (Section 10). Deleting the child's account removes their personal information as described in Section 7.
- Schools: we do not ingest school rosters, student information systems, or school directories. Families add their own children to their own accounts.
5. How We Share Information
- With people you choose: family members you add, and the experts, coaches, or clubs you book or join. For example, booking a coach shares the booking details with that coach.
- With service providers who run the Service on our behalf, under contract: Anthropic (AI for AskAI); Google Firebase (push via FCM, chat storage via Firestore, authentication); Google (Google Calendar sync, only if you connect it); Apple (Sign in with Apple, push via APNs); Amazon Web Services (application servers, database, media storage).
- For legal reasons: to comply with law, enforce our terms, or protect the rights, safety, and security of our users and the Service.
- Business transfers: if TimeMe.AI is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this policy.
We do not sell personal information, and we do not share it with third parties for their own marketing.
6. How We Protect Information
We use industry-standard safeguards including encryption in transit (HTTPS/TLS), hashed passwords, scoped access controls, and reputable infrastructure providers (AWS, Google Firebase). Data is hosted primarily in the United States. No method of transmission or storage is 100% secure, but we work to protect your information and to limit access to those who need it to operate the Service.
7. Data Retention & Deletion
- We keep your information for as long as your account is active or as needed to provide the Service, then for a reasonable period to meet legal, security, and operational needs.
- Account deletion: you can delete your account and associated personal information from within the app (Settings → Delete Account) or by contacting us (Section 10). We remove or de-identify the associated personal data — profile, schedule, family-link, message, and media data — except where we must retain limited records for legal or security reasons. In-app account deletion is available in the current release.
- Children's data: a parent or guardian can request deletion of a child's information at any time (Section 4).

8. Your Rights & Choices
Depending on where you live, you may have rights over your personal information. We honor these for all users where practical: access & portability, correction, deletion, opt-out of sale/sharing (we do neither), and withdraw consent (revoke calendar access, push, or other permissions in your device or app settings).
California residents (CCPA/CPRA) and EU/UK residents (GDPR) have additional rights, including the right to know, delete, correct, and — for GDPR — to object to or restrict processing and to lodge a complaint with a supervisory authority. To exercise any right, contact us (Section 10). We will not discriminate against you for exercising your rights.
9. International Users
The Service is operated from the United States and data is processed and stored primarily in the United States. If you use the Service from outside the U.S., your information will be transferred to and processed in the U.S., which may have different data-protection laws than your country.
10. Changes to This Policy
We may update this Privacy Policy as the Service evolves. When we make material changes, we will update the "Last updated" date and, where appropriate, notify you in the app. Your continued use after an update means you accept the revised policy.
